Role Description
The Training Academy Administrator is responsible for executing and coordinating the day-to-day administrative and operational activities of the Training Academy.
The role ensures the smooth functioning of batch scheduling, attendance tracking, LMS coordination, Salesforce data management, documentation control, and reporting systems.
This position works under the Academic Lead and supports mentors, trainees, and internal teams to ensure timely, accurate, and compliant operational execution.
Core Responsibilities
1. Admission & Enrollment Operations
● Coordinate post-selection documentation and enrollment processes
● Ensure accurate student/trainee data entry in Salesforce
● Maintain enrollment records and admission documentation
● Support communication related to batch onboarding and orientation
2. Batch & Timetable Coordination
● Prepare and maintain batch schedules in coordination with the Academic Lead
● Coordinate mentor timetables and classroom allocation
● Manage class rescheduling, substitutions, and updates
● Ensure timely communication of schedule changes to all stakeholders
3. Attendance & Record Maintenance
● Maintain daily student/trainee attendance records
● Track mentor attendance and session completion
● Ensure data consistency between LMS and internal tracking sheets
● Generate attendance summaries and reports
4. LMS Coordination & Management
● Coordinate LMS access for eligible students/trainees
● Monitor course progress and completion status
● Support mentors with LMS-related operational issues
● Ensure LMS data accuracy and timely updates
5. Documentation & MIS Support
● Maintain structured documentation for batches, courses, and academic operations
● Prepare monthly MIS reports (attendance %, course progress, enrollment data)
● Support policy implementation through documentation tracking
● Maintain backups of completed academic records
6. Communication & Coordination
● Act as the primary administrative contact between mentors, students/trainees, and the Academic Lead
● Draft and manage formal email communication
● Follow up on pending documentation, attendance gaps, or reporting requirements
● Coordinate with IT or vendors for technical support issues
7. Compliance Support
● Ensure adherence to institutional academic and MIS policies
● Maintain structured record-keeping as per compliance standards
● Support periodic audits by preparing required documentation
● Escalate operational deviations to the Academic Lead

Qualifications
- Graduate in any discipline (Administration / Management preferred)
- 3–5 years of experience in academic administration or training coordination
- Experience handling student data, scheduling, and operational reporting preferred
- Familiarity with CRM systems (Salesforce preferred)
- Proficiency in Google Sheets and Google Workspace
