Executive Assistant – Communications

Role Description

As the Executive Assistant to the Communications Department, you will play a pivotal role in enabling the leadership to function at their most productive and strategic level. You will streamline administrative workflows, facilitate seamless team coordination, and act as the bridge between communications and other departments. You will ensure that no detail is missed, no meeting goes unprepared, and no deadline slips through the cracks.

Core Responsibilities

  • Provide direct administrative and strategic support to the HOD and Digital Head of Communications.
  • Manage calendars, schedule internal and cross-departmental meetings, and ensure follow-through on action items.
  • Take clear and concise meeting minutes; track decisions and ensure accountability across projects.
  • Assist in prioritizing the leadership’s to-do lists and ensure timely reminders and task execution.
  • Serve as the first point of contact for interdepartmental communications related to design, content, and campaign requests.
  • Maintain department-wide trackers for projects, requests, budgets, SOPs, and documentation.
  • Help prepare reports, presentations, and briefs required for review meetings or stakeholder discussions.
  • Coordinate onboarding for new team members, including system access, orientation to departmental processes, and documentation handover.
  • Provide logistical and admin support for events, campaigns, workshops, and other key initiatives.
  • Maintain confidentiality, professionalism, and poise while dealing with internal and external stakeholders.
  • Document action items and deadlines, updating our bi-weekly progress.
  • Support seniors in preparing concise status reports for review.

Requirements

Key Qualities

  • Strong organizational and communication skills.
  • Ability to manage multiple timelines and coordinate across teams with clarity.
  • Familiarity with tools like Google Workspace, Slack, Trello/Notion (or willingness to learn).
  • Comfort with taking initiative and holding people accountable in a non-confrontational manner.
  • 2+ years in administrative, coordination, or executive assistant roles—preferably within a communication, PR, or nonprofit setting.
  • Fluency in English is essential. Comfort in Bengali and/or Hindi is a plus.

Qualifications

  • Bachelor’s degree in Communications, Business Administration, Social Sciences, or related field.
  • Prior experience in managing communication workflows or interdepartmental coordination in mission-driven organizations.
