Role Description
The Fundraising Assistant Manager is responsible for building and executing the operational backbone of the fundraising function, ensuring disciplined pipeline management, donor coordination, and revenue tracking.
The role supports end-to-end fundraising execution, from donor research and outreach tracking to proposal development, follow-ups, and closure support, while ensuring 100% adherence to systems, documentation, and governance processes.
Core Responsibilities
1. Fundraising Operations & CRM Management
● Set up and manage the fundraising CRM / donor tracking system
● Ensure 100% tracking of all leads, donor interactions, and follow-ups
● Maintain real-time pipeline visibility across stages (prospect → engaged → committed → closed)
● Generate weekly dashboards on pipeline status, conversion rates, and risks
● Build and refine SOPs, templates, and workflows for fundraising operations
2. Donor Research & Prospecting
● Identify and build a structured database of potential donors (HNI, CSR, Foundations, Institutions)
● Segment donors based on relevance, capacity, and engagement stage
● Continuously expand and update the donor pipeline
● Track outreach efforts, response rates, and engagement levels
3. Donor Engagement & Coordination
● Schedule and coordinate donor meetings, calls, and site visits
● Prepare meeting briefs, background notes, and follow-up summaries
● Ensure timely and consistent follow-ups with all donor leads
● Maintain detailed records of donor preferences, priorities, and communication history
4. Proposal & Collateral Development
● Develop and customize donor-facing materials, including pitch decks, proposals, concept notes, and budgets
● Align proposals with donor interests and organisational priorities
● Ensure quick turnaround time for all fundraising materials
● Support creation of impact stories and donor communication assets
5. Revenue Tracking & Closure Support
● Track fundraising commitments vs actual inflows across donor segments
● Monitor deal progress and flag risks or delays proactively
● Support closure processes, including documentation, approvals, and follow-ups
● Maintain accurate records of all financial commitments and receipts
6. Brand & Visibility Support
● Support development of donor-facing communication, including impact reports and case studies
● Coordinate content for website, LinkedIn, and fundraising campaigns
● Assist in organising donor events, visits, and engagement initiatives
7. Governance & Compliance
● Ensure all donor interactions are documented and compliant with internal policies
● Maintain structured documentation for proposals, agreements, and communications
● Support periodic audits by preparing required fundraising records
● Enforce adherence to approval workflows and governance standards

Qualifications
- Graduate in any discipline (Management / Commerce preferred)
- 5+ years of experience in fundraising, business development, partnerships, or sales operations
- Experience working with CRM systems (Zoho, Salesforce, or equivalent)
- Strong proficiency in Google Sheets / Excel and Google Workspace
- Experience in proposal writing, coordination, or stakeholder management preferred
